Mail Out Procedures
Benefits
of Bulk Mailings
- To qualify for Pre-sorted
Standard/Bulk Mail must have at least 200 identical
pieces of non-personal information.
- To qualify for
Non-Profit Standard/Bulk Mail pieces cannot
have any advertising or personal information and
must be at least 200 pieces of identical information.
- Pre-sorted First
Class Mail at least 500 pieces and may contain personal
information.
- Mail lists need to
be in Excel format and contain only the following fields:
- Company Name
- Name
- Address
- City
- State
- Zip Code
- The zip code column
needs to be in a character field aligned on the left
side of the column
(left-aligned) as opposed
to the right. This can be done by right clicking
on the column and going to format cells and
change general to
text.
- The mail list needs
to be turned in to the Smart Mailer at least
one week prior
to mailing
due to the cleansing
process. Also,e-mails should give instructions
on the type of font (the Postal Service Prefers "Arial" )and whether or not
the error list
(from the cleansing
process) should be returned.
Please email the list to BPC Smartmailer .
- All printed
documents should be sent to the Campus Post Office
at least a week
in advance,
for approval
of funds
and preparation. If the mailing is Standard/Bulk
mail, please send extra copies due to
possible shortages.
- If the mailing is
personalized (letter documents, matching envelopes),
we cannot
presently
match the items for you.
We can only offer folding and mail
cleansing with this option. Another option is to
use window envelopes,
which
we then can cleanse, fold and insert.
- Endorsements are optional (i.e.Return Address Service
Requested) – if
your department would like the mail
document returned. Costs will be incurred to have
them returned.
- Envelope – There are different
types of envelopes to be used for a mailing. The Post
Office staff can offer
advice on which type would best suit
your mail out.
The

Phillips Student Center.
